Trix Organizer is installed in a wide variety of
engineering environments, for both project and archival document
management. The smallest installations, in terms of user numbers, have no more
than 5 users, while the largest installation has over a hundred users. Stored
document quantities range from a few thousand to over a million.

Assembly

A newly built plant for the assembly of industrial engines was handed over with
the majority of its drawings provided in a cardboard box of DVDs. The assembly
line is over a quarter of a mile long and valuable time was being lost by
maintenance staff both getting to and trying to find the correct drawing files.
To address this Trix Organizer was installed and set up so that staff could
simply drill down a trees structure based on stations and processes to identify
and open the drawings and manuals needed. Each station has its own computer and
uses the Trix Organizer Web client.
Maintenance staff redline drawings in Trix Organizer when changes are made and
this redline is used by CAD operators to check out and update the master CAD
files.

Oil and Gas Pipelines and
Terminals/Process Plants
The
owners of a nationwide set of oil pipelines, refineries, terminals and
petro-chemical plants are deploying Trix Organizer software to manage their
engineering drawings and associated equipment records.
The system enables revisions to be
controlled and, using the Component Management Module, managers can ask and
immediately get answers to the questions "What equipment is affected by a change
to this drawing?" and "What drawings and documents are called by this piece of
equipment?"
All data is stored at a centralized
data storage location and served out to individual users using either the Trix
Organizer Web client or regular clients over Citrix.
Local document control protocols,
procedures and nomenclature are supported while still providing a common core
structure that will permit corporate to aggregate data and search for documents
across all their sites. |

Industrial Equipment
Natural
gas production requires that all of the gases be separated and water removed.
Dehydration units, separation units, heaters, compressors and transfer pumps at
the gas well heads service these needs.
Trix Organizer is installed to manage the documentation
of this equipment for a large American gas field. The harsh environment takes
its toll on equipment that must run 24/7. Organizer provides maintenance and
repair crews with immediate access to up-to-date drawings and technical
documentation.
Equipment must be relocated often. The documentation in
Organizer tracks 'what is closest to where', enabling efficient and cost
effective redeployment. |

Manufacturing
A
world leader in the production of bearings and lubrication systems manages its
continually changing plant and equipment drawings and documentation in Trix
Organizer.
As an integral part of the document management system
Trix ImageMaker software enables manufacturing facilities around the world to
directly 'print' drawings and their associated metadata directly into the
central Trix Organizer system.
This functionality means that the drawings produced by
older, foreign language, versions of CAD software in the remote locations are
entered into the system as easily as drawings produced at the head office
location. |

Mining

One of the world's largest iron ore mines is situated above the Artic circle in
northern Sweden. To construct it design engineers and equipment manufacturers
from all over the world share complex documentation with contractors on-site in
a particularly harsh environment. A hosted Trix Organizer is used to store all
the construction drawings and associated documentation.
Users log in
using Web clients to redline drawings and check them out for editing. In
addition to hosting all the data on servers run by Provanum (Trix Systems parent
company) we provide document control services to vet and control drawings that
are checked back into the system after modifications.
All the mine's
equipment numbering is to our design to meet international standards. Equipment
IDs are stored in Trix Organizer and associated with their drawings. When the
mine comes on steam the IDs will be linked directly to the third party
maintenance planning software so work orders will bring up required
documentation in the Trix Organizer system.

Municipalities
Trix
Organizer is commonly used by cities, towns and regions to store their
engineering documents. The documentation for facilities, housing, schools,
roads, water, drainage and even transportation systems are logically and
efficiently managed by Trix Organizer so that departments have access not only
to their own documents but also to relevant documents originating in other
departments.
Urban documents are typically long-lived with considerable
intervals elapsing between changes. Trix Systems has evolved considerable
experience importing and classifying documents of all ages so that they can be
rapidly found and viewed. |

New Construction - Project Management
Construction
of a 3 mile (5 km) road tunnel under the western suburbs of Stockholm took over
five years to complete. Trix Organizer stored and managed all the mechanical
documentation throughout the project, including check-in/check-out control of
subcontractors.
Organizer stores prior versions of document files for review or
reversion so most documents contain multiple files— hence the number of files
stored in the database numbers in the several million.
On completion the Trix Organizer database was transferred
to the tunnel operators. This provided them with a completely up-and-running
tool which they continue to use for the efficient maintenance of the tunnel.
As the data was complete, entirely in digital format,
and in one single database, the tunnel operators were spared the tedium and
considerable expense too often associated with collecting as-built post-project
documentation. The Assembly Builder module
is used to create and maintain PDF binders of the documentation needed for
entire maintenance functions such as Ventilation and Lighting.

Power Generation

A recently constructed natural gas fired
CCGT power station is one of the
most efficient power stations in the UK, combining very high thermal efficiency
with advanced operating procedures to produce electricity economically and with
minimum environmental impact. Ready access to correct drawings and documentation
for maintenance purposes are a key to maintaining this efficiency. The plant was
handed over with 40,000 documents and drawings and a supplier-provided document
database of limited functionality. Finding documents was sometimes taking hours.
Management soon realized that a proper engineering document management system
(EDMS) would be required. Trix Organizer was selected from a number of competing
candidates and implemented in under eight weeks.
In addition to searching on known metadata the system is set up with Graphical
Search so users drill down and click on
hot spots in photo images of the plant to locate the documents for that
region or piece of equipment.

Rail Signaling Systems
A
leading global technology company in the railway and mass transit systems
business receives drawings and documents from its own design group, from railway
track owners and from a multitude of subcontractors employed to install and
maintain their equipment. Scheduling track signal maintenance and upgrades
requires precise time-keeping predicated on precise record keeping. Track
downtime is too costly to do otherwise.
Trix
Organizer is used to control the inflow and outflow of drawings
and specifications for individual projects. The system ensures that correct
and complete documentation is issued. It also tracks documents checked
out for approvals and flags tardy responses. In turn this helps
the firm maintain its commitment to timely, high quality, communication
with its customers and its contractors. The reporting system also provides
‘proof of delivery’ of distributed documents.
Some
documentation is extremely sensitive. Access is strictly controlled by Trix
Organizer’s log-in and permission rights.

Real Estate
Facilities

Trix
Organizer stores the building and equipment documentation for 3 hospitals and
about 250 other buildings such as primary care practices.
The Facilities Module is used to overlay icons
representing specific items of equipment on top of displayed plans and
elevations. The system communicates directly with a third party FM system so
it's easy to zoom in on an asset in Organizer and immediately open up the
relevant asset record in the FM system's window. Conversely, locations can be
instantly displayed on floor plans in Organizer from lists selected in the FM
system. Individual areas such as examination rooms
and theaters are charged out to workgroups. These leases can be as short as one
week at a time. Trix Organizer provides the leasing manager with real-time views
depicting tenants and vacancies by color coding rooms. In a similar fashion
cleaning contracts and specifiations are assigned.
Although the facilities were for the most part of
relatively recent construction much of the original documentation was on paper.
Provanum, Trix
System's parent company, performed the scanning, indexing and loading of the
data. A limited subset of the architectural drawings was converted to
Autodesk Architecture DWG format. This enables Organizer to provide 3D
depictions and access to asset data. |

Refurbishment - Project Management
In
a major project to refurbish and boost output of a large power plant the entire existing plant drawings
and documents are being indexed, de-duplicated and loaded into Trix Organizer.
The documents are served up over the Web directly from Organizer's Advanced Project Module
to sub-contractors in multiple locations around the world. Modifications are
checked back in and routed for approvals using the Workflow and Task
Management Module.
Amongst the 'documents' being loaded into Trix Organizer are
entire subsidiary databases such as those generated by MathCAD. This illustrates
Organizer's versatility—virtually any file format can be stored and managed. |

Structural Steel

A
large structural engineering drawing office was
using a file based system to manage their documents and the PDF files produced
by their steel detailing software for issue to manufacturing and sites. This
caused costly bottlenecks in the production and distribution of the paper
transmittals.
The installation of Trix Organizer eliminated the bottlenecks and did away with
the complex and unreliable Excel spreadsheets which had been used to track
transmittals. It also provided immediate access to drawings on the shop floor,
replacing the need to walk to the office to pull drawings.
